Job Description:
Job Purpose:
The Events Coordinator will play a critical role in planning,
coordinating, and executing a high-profile Forum and Expo for
Strativia's Customer. This temporary position requires strong event
management skills and effective communication with multiple
stakeholders to ensure the event's success. The role includes
overseeing logistics, managing compliance, and providing detailed
post-event reporting. This is an ideal opportunity for someone with
expertise in event coordination and the ability to work with
diverse teams.
Duration: Temporary (12 weeks)
Responsibilities:
Manage all aspects of the Forum and Expo, a major event for
Strativia's Customer. This includes event planning, coordination,
and execution, ensuring the event meets objectives and is carried
out smoothly.
Utilize the Conference Management Tool (CMT) to track entries,
monitor compliance, and manage key event details, ensuring
everything aligns with customer requirements.
Work closely with stakeholders, including contractors, leadership
teams, event representatives, and other office staff. Maintain open
and clear communication to align objectives and ensure effective
coordination across all parties involved in the Forum and Expo.
Oversee and manage the participation confirmation process, ensuring
that all program office submissions are recorded accurately and
participants have all necessary resources for successful
involvement.
Plan and organize a half-day stakeholder training session during
the Forum and Expo, ensuring the content, scheduling, and logistics
are well-coordinated to provide valuable learning experiences.
Develop detailed reports after the event, highlighting key metrics,
successes, and areas for improvement to guide future event
planning.
Provide support for additional events hosted or co-hosted by
Strativia's Customer, ensuring seamless execution from planning to
post-event reporting.
Education and Experience:
Bachelor's degree in Business Administration, Marketing,
Communications, Hospitality Management, or related field is
required. A master's degree or relevant certification in Event
Management or Project Management will be considered a plus.
Proficiency in using event planning software and tools, such as the
Conference Management Tool (CMT), is essential. Experience with
virtual event platforms, CRM software, and Microsoft Office Suite
is also necessary.
Demonstrable experience in project management, including the
ability to manage multiple projects simultaneously, meet deadlines,
and coordinate among various stakeholders effectively.
Excellent verbal and written communication skills, with the ability
to interact professionally with a diverse group of stakeholders,
including executives, managers, and subject matter experts.
Proven ability to lead and motivate teams, manage contractors, and
handle sensitive situations diplomatically.
Strong analytical skills to assess event performance, understand
key metrics, and prepare comprehensive reports for management
review.
Must be flexible and adaptable to changing circumstances and
challenges that may arise during event planning and execution.
Willingness to travel as required for site inspections, on-site
event management, and meetings with partners and stakeholders.
